FFR Group QuickBooks connector — privacy notice

The connector retrieves records and reports from the FFR Group QuickBooks Online company an administrator authorises. These records may contain names, contact details, invoices, payments, transaction descriptions and notes about customers, suppliers, employees or others. The source is FFR Group’s QuickBooks records. FFR Group uses them to answer internal accounting questions, reconcile figures and prepare internal financial analysis. Its lawful bases are legal obligations to maintain accounting records where applicable and its legitimate interests in managing and checking the group’s finances.

Only authorised FFR Group users may use the connector. Requested QuickBooks results are sent through Codex to OpenAI and can appear in the user’s conversation. Intuit processes data in providing QuickBooks and its APIs. The local MCP server stores the app credentials and a rotating authorisation token on the administrator’s computer; it does not keep a separate database of QuickBooks transactions. A user may separately download a report. The connector is configured to expose read-only tools. It does not process payments. Under the account setting FFR Group has confirmed for this use, Codex conversations are not used to improve OpenAI models. The connector does not make solely automated decisions with legal or similarly significant effects.

Local authorisation credentials are kept while the QuickBooks connection is active and removed when FFR Group disconnects it. QuickBooks source records and any downloaded reports are kept according to applicable accounting and legal recordkeeping requirements and FFR Group’s records practice.
